Minutes of the BOD Meeting
5 th BOD Meeting was held at Hotel Amantran, on 16 nov 2021 at 8.30 p.m.
1). The Following members were present.
President –Rtn. Gurdev Sing Kohli, Secretary – Vinod L Gurme, Rtn. Arvind Sawalekar, , Rtn. Nilesh Pote, Rtn. Charudatta Bhagat, Rtn. , Rtn. Harmesh Tanna, Rtn Madhusudan Malpani(Treasurer), Rtn. Jai Bhandarkar, Rtn. Rtn salim, Rtn Latif. Rtn borade,Rtn sanjay jain, Rtn tushar tatkari,Rtn kalpesh parmar,Rtn panahale,Rtn Sasane,Rtn v.c. mhatre,Rtn dr karande,Rtn Kodru,Rtn golwala,PP and trust chairman Rtn Dr janardhan,Rtn Natnani
Following Points were discussed as per Agenda.
1) Minutes of last BOD(4Th) meeting: - Read and Confirmed.
2) Discuss about joint meeting with trust members since trust not responding: During the Trust meeting, trust chairman called president as invitee on 11/10/202.President handover letter to trustee as a leader of club. The letter is attached.
Trust Chairman and PP rtn dr Janardhan assured that the joint meeting will be held on or before 25 th nove 2011
3)IPP Rtn Harmesh Tanna : pointed out that his objections are not recording by secretary
4)Secretary Rtn Vinod Gurme: clarified that objection with reason and as per by laws are recorded ,simple objection like saying that I have objection is not go on record.
5) President Rtn Gurdev singh Kohli Clarified that objections as per by laws and ethics of rotary are recorded and clarified in the same meeting, however the objection which is as per rotary by laws are discussed and the concern resolution is passing by voice voting.

Rtn Jay Bhandarkar expressed the need of communication between trust and club BOD on regular basis in every two to three months so that good bonding and healthy discussions take place and no issue will raise in future., However he expressed that the suggestions of then Bod might have considered by trust at that time then the issue of hoardings might have not raised. The issue of hoarding is lingering since long back and needs to solve immediately. The decision of any matter must be taken on merit basis not favoring to anybody.
Trust Chairman and PP rtn dr Janardhan informed that, trust allowed to erect hording on building to meet the running expenses of trust, However, some mistakes took place while making documentation and fixing rent, He assured joint meeting with BOD on or before 25 th nove 2021.
AG Rtn V.C. Mhatre pointed out that the market rate of displaying hoarding on the place is comparatively very high and vendor may be charging the higher rate to customers and trust is receiving very low rate as a rent.
Rtn vinod Gurme bring it to the notice of BOD :the trustee might have not aware about the rules, regulation ,terms and conditions ,normal practice of erecting hoardings, fixing rent of advertisements contract. But vendor is doing regular business of advertisement, He purposely misguided trustee and taking undo advantages which is against ethics and law.
PP Rtn Arwind Sawalekar bring it to the notice of BOD, the rent of one board was decided rs 18000 per board on both side advertisement without refectory lights on board and 10 months’ rent that is Rs 180000 as deposit for hoardings. The tenure period for hording was three years as per the MOU.
It is learnt that now two numbers of hoarding with reflecting lights have been running with rent of one board. The locking period is 10year.How without resolution it has been done. It means that vendor not paid the rent of one board for entire period that is 18000*36=648000 plus interest on that and deposite also .How documents changed without resolutions and information to trustee.
Furthe time limit of hoarding was up to 31/10/21 and said time is over now.
He also brings it to the notice that vendor frequently saying trust is running only on rental income of hoardings which is very insulting to entire club
4)Discussion on election and tenure of trustee: Rtn Tushar takari said that, the tenure period of trustee should also rotate. Due to lack of time this point was not discussed in details. It will be discussed in next BOD.
5)Incoming New Projects: will be informed on group
6) New member proposals: President proposed two ghar wapsi 1) Ajay Jaju and Hemant Narwekar .
7)It is decided by all that joint meeting will be held on or before 25 th nove2021 to solve the issue of hoardings and if we fail to solve the issue jointly then club will appoint lawyer officially and approach charitable commissioner for necessary action.
