| Minutes of Meeting | (1) Trust & Club account signature authorities to be updated – Rtn.Balvir will look into this. (2) Rtn.Balvir will check with Federal Bank on the net banking facility for our Club account. (3) As per our club bylaws we were supposed to increase the club dues every year by 5%, but since last two years we have not increased the same. So, for the current year the BOD has decided to increase the club dues by about 10%. (4) New structure will be as below: Club dues per Rotarian: Rs.20000/- Club dues per spouse Rotarian: Rs.9000/- Club dues per Rotarian who is on Sabbatical leave: Rs.9000/- Foundation dues per Rotarian: 30$ Foundation dues per Rotarian who is on Sabbatical leave: 30$ Trust dues per Rotarian family: Minimum Rs.10000/- Trust dues per Rotarian family who is on Sabbatical leave: Minimum Rs.10000/- (5) The club dues can be paid in two parts. 1st instalment to be paid on or before 31st July 2022 & 2nd instalment to be paid on or before 31st Jan 2023. If Rotarian plans to pay 1st instalment after 31st July 2022, then he / she will not have option to pay dues in two instalments. Complete club dues of Rs.20000/- must be paid on or before 31st August 2022. (6) The payment towards the club meeting happening at Vidarbha Bhavan must be cleared on the day of the meeting. (7) Club meeting timing: We plan to conduct two club meeting every month – on alternative Wednesday’s. Time: 7:30pm to 9:00pm. All the members should punctual & follow the timing. We must be present by 7:30pm, so that we can have our meeting between 8:00 to 9:00pm. (8) Vidarbha bhavan charges for the club meeting: Hall rent: Rs.1500/- Food: Rs.150/- per plate (Welcome tea followed by dinner). (9) For the club meeting, this time we plan to try a different idea proposed by our President & First lady: Any Rotarian family can come forward & host the club meeting food depending on any of the special occasions they have like Birthday’s / Anniversaries / Festivals. - Host family can do it in Vidarbha Bhavan with food ordered from Vidarbha Bhavan. - Host family can ask club admin to use the Vidarbha bhavan for meeting & Host family can bring food from outside. - Host family can ask club admin to do meeting at any of other location by their choice even it can be at their home with food ordered by Host family. Food selection will be done by Host family. For any of the above options club will pay Rs.4500/- to the Host family & if any extra amount on food to be paid by Host family. We intend to do about such 10 meetings. (10) For the remaining 10 club meeting meetings, Rtn.Sanjay will discuss with Rtn.Sathish & decide on the menu / price. The intension is to have meeting with only light snacks so that we reduce on the club meeting food cost & can be used for Family night. (11) BOD meeting will be on every 1st Saturday of the month. We can have it on 2nd Saturday if members are not available. For the BOD meeting happening at Vidarbha Bhavan, Rtn.Sathish will not charge any Hall rent. For the food, the BOD members present to pay Rs.100/- directly to Rtn.Sathish. |
