| Minutes of Meeting | DG started Meeting with 4 Presidents regarding Strategic planning. He suggested that being a premises owner, club should start some project in the premises which will fetch regular income for the club. Rest of the planning is Okay. Among the Board Members he was not happy with the participation of Directors. So he suggested the Club Trainer to conduct survey and come with the solution. President has reported that new members are ready to join, but the environment is not suitable for the new comer, hence awaiting to improve the situation. He also talked with Youth and he was happy with youth activity . He was also happy to see the records, Website Mobile App use. He suggested that Club should also have the PAN Card. President promised to get it in couple of months. Then he addressed the General Meeting. in which he expressed the work during last 2.5 month and suggested that club should be 100% giving club. Prize distribution for Eco Friendly Ganapati Decoration also done by the hands of DG. |

Minutes of the last meeting were read and confirmed by Secretary Radha. President Ujwal opened the meeting with a brief on the ‘Art of Charity’ event and gave some insights into the financial of the event, the same are as follows: Proceeds from Sale of paintings (31 Numbers) 4,41,000 Sponsorship Contribution by Nandan Developers 1,00,000 Total Expenses 1,93,656 Net Income 3,47,344 Workshop Surplus (To be utilized for 28th October prgm) 15,663 Ujwal proposed that Rs. 1,00,000/- received from our sponsors Nandan shall be kept in the trust account for the various other community projects. We make a contribution of Rs. 2,51,000/- to the SIRF, NGO run by Mrs. Sumedha Chindhade. It was also proposed that the amount shall be given to her in next few days. However we will do an official felicitation and formal handover of the dummy cheque in our planned SYNERGY meeting on 28th October, 2022. Baby Warmer (District Project) – It was decided to pay Rs. 20,000/- for two baby warmers for the district project from the Trust Account. Best out of Waste - As per the WHATSAPP Message, project support for SAAVI Foundation • Project has been approved by the board • Proposed handlooms – 4 nos; Rs. 25,000/- per equipment, Rs. 1,00,000/- total financial commitment. • Deepak will contribute for two handlooms • Balance 50K to be contributed from the trust account. Director Fund Raising and Sports: Anil Kasodekar Walkathon: Anil proposed a budget of Rs. 6000/- for this project. Winners will be announced per month in the following category: 1. Maximum Walker of the month – One Male and One Female 2. Maximum Walk: One Couple – per month 3. Maximum Walk: Breakfast Group – per month One winner will be eligible only once Performer of the year also would be decided Group of the year Couple of the year Anil to share details of Walkathon rules on the WhatsApp group. Moonlight Walk: This is a district event planned on 8th of October night. BOD members discussed about venue possibility, however venue has not been finalised. • 9.00 PM Assembly, 4 to 4.30 HRS total estimated program time. • Expected Participants: Around 60 • Estimated Budget: 4000/- • Snacks and Masala dudh would be served to the participants being a Kojagiri Paurnima • No Registration charges for this event. Director Community: Atul Parchure • Dental Check-up camp: To be conducted before 15th October 2022. Dr. Aniket Kasodekar, son of Anil Kasodekar will lead the Team for Dental Check up project. Ujwal suggested students of Vidyarthi Sahayak Samiti as the beneficiaries. • For Cataract Surgery, more numbers to be gathered. Eye Check up camp in association with Municipal Corporator would be held to get the patients for the Cataract Operation project. This would also be carried out within one month. • Sane Guruji Online UPS: is already Installed and in operation. UPS was handed over to the hospital on 16th August 2022. This project was initiated in the year of PP Ashwini. • Happy Blossom: Project conceived by Secretary Radha, discussion in progress. Project Chairperson : Radha, Happy Blossom is a project for the adolescent boys and girls. Request to execute this project had come from Ms. Manjusha Borawake, Principal of the Versatile school, Sinhagad Road. Secretary Radha discussed about this project with her friend in Rotary Dr. Smita Jog and Dr. Avinash Bhondave. Both of them agreed to be a presenter and counsellor for this project. Dr. Smita Jog created PPT for this project. We are planning to take this project to many schools of the city. Atul, Ujwal, Harsh, Dhanashri, Ashwini and others would be a part of the project. Principally project has been accepted by BOD and budget of Rs. 2000/- was approved. Director Youth: Vaishali Deo • RYE In Bound: Simon: Introduction planned in the club on 7th October • Interact: No activity could be carried out during September. Activity to be done on first week of October. • Rotractor Installation: 26th August 2022 was done successfully • Youth Seminar: 7 Rotractors plan to attend, 50% fees to be sponsored by club is proposed by Director Vaishali and approved by all the BOD members. • Ujwal requested Harsh to get involved more in Rotaract activity and build strong bonding with them. Also to get them involved in the Moonlight Walk event. • Recognition for Anushka: For the District Dhaga project which resulted in a record collection. The project was suggested by Rotractor Anushka. Director Foundation: Deepak Kelkar • As on date, USD 6,600 committed by BOD and club members. Director Deepak is trying for other members too. Director Administration: Sudhir Bapat • 17th and 18th : Club Picnic • 23rd September: Quarterly Club Assembly • 30th September: Garba, Combined with other synergy clubs • 7th October: Orchestra – Damle Hall, off Law College Road • 8th October: Moonlight Walk • 13th October: Atharvshirsh Recitation – Modak to be sponsored by Harsh and Dhanashree, Ramesh has booked the venue • 21st October: Diwali Party or Diwali Pahaat IT Officer Ramesh has updated the BOD that he has uploaded the Weekly Meetings info and all the bulletins on Rotary District 3131 website. He informed that the Trust accounts are updated till date. Everyone congratulated and appreciated Rtn. Ramesh for his dedication and sincere efforts as a Trust Treasurer. Since Treasurer Dinesh was absent he sent a message that the club accounts would be updated and circulated to BOD within the week. Meeting was closed before Dinner at the Cafeteria of MCCIA. Meeting was called to order by President Maithili Manakwad at 6.30 PM 2. 2 minutes silence was observed on account of Rtn Harmindar Singh Ghai’s sad demise on Sunday, 11th September 2022 and condolences were offered 3. Minutes of the previous meeting of BoD were read and confirmed. The proposal by PDG Vivek confirming the minutes and Director Aarti seconding it formalized the confirmation 4. Points arising out of minutes of August Meeting of BoD- PE N.P.S Bakshi suggested that Jt Secy Paramjit Pabby may be requested to engage actively in contacting absenting members in the interest of the club. This was accepted by the Board. It was also suggested that the practice of studying the Attendance Report of the previous month be revived. This too was accepted 5. Leave Note- Was received from Club Service Director- Rtn. Maj Gen. Amar Krishna(Ph.D) until end November 2022. Resignations- Nil 6. Monthly Programs for September 2022- Monday, 19th September- Condolence Meeting. Monday , 26th September – “Emotional Resilience” : Speaker Mr Sumit Seth. Friday, 30th September 2022- Fund Raising Event “Dandiya” at Poona Club will be considered a weekly meeting in lieu of Monday’s Meeting of 3rd October which stands cancelled. 16th October, Monday- Regular weekly Meeting at Poona Club. Monday, 16th October 2022 Club will host at Boat Club’s Pocha Hall “District Service Seminar” chaired by District Governor Dr Anil Parmar Jt Secy will be requested to remind Executive Secretary to accordingly inform Poona Club Management, about the non-requirement of hall on cancellations of Monday Meetings and the Executive Secretary being present and in attendance at BoD meeting, to kindly note and inform the management. Hon. Treasurer suggested that Programs for the following month be informed to BoD (if confirmed by Program Chair) in every BoD meeting. 7. Review of Fund Raising Program : Monday, 16th October 2022 Club will host at Boat Club’s Pocha Hall “District Service Seminar” chaired by District Governor Dr Anil Parmar, Convened by PP Kailash Monga and the Chief Guest will be PDG Dr Rajiv Pradhan . Convenor in consultation with DG and PDG Vivek will invite PDG of repute to be guest of honour at the event. Convenor informed the Board that Rs one lakh had been given to Boat Club as advance. Convenor will inform further details of working committees to the Board within this week. 8. Review Budget Expenses of Fund Raising Program- Convenor offered information that Registration fee per delegate is fixed at Rs1000. Every Club member and spouse is expected to register by paying Rs2000 for couple and Rs1000 for single delegate. Spot Registration is fixed at Rs1200 per delegate. Rs25,000 will be subsidized by District 3131. Program will start at 3 pm for High Tea of which the counter will close at 4.30 pm. The inauguration and subsequent program will proceed in Pocha Hall from 4 PM sharp and time management will be strictly adhered to. Veg/Non Veg Dinner is included in registration. Fellowship will be organised on chargeable basis and Boat Club Bar Management will provide service. 3 Rotarians will attend the Bar to receive coupon from delegate and payment to Boat Club will be as per coupons collected. Secretary Sanjay Kher shall nominate and direct the 3 members to efficiently manage this part of fellowship. Other Teams shall be – (a ) Sgt At Arms Jaideep to nominate and guide 4 other members to assist him (b ) Registration to be headed by PE N.P.S Bakshi with 16 R’Anns and 4 Rotarians to manage “Registrations” (c ) Catering – shall be managed and headed by PDG Vivek assisted by Director Vaijayanti and PP Praful Shah. IPP Col. Bharat has kindly agreed to design the flier for the event for publicizing the event “ SEVARTH” digitally. 9. Directors Reports : Due to time constraint, President requested Directors to submit written reports of projects already completed and submit only project proposals at the Board Meetings. Accordingly, Community Service Director Rtn Aarti submitted following proposed Projects for discussion – A] WHEELCHAIR to be given to paraplegic soldier : 3 quotations received. One by “Pioneer Surgicals” of Rs73,500 was accepted by the Board. B] “Asmita” project of Rc Bibvevadi in which underprivileged girl students are checked for anaemia, given training in “self defence” , given iron supplements and given books on health and hygiene was accepted by the Board and a budget of Rs80,000 was sanctioned. The girls will be identified by Community Service Director and Members of the Committee. D] “MAMATA” project of the District 3131 of supplying 103 baby warmers to hospitals : BoD accepted to donate TEN baby warmers and donate Rs one lakh for the same. E] The proposal by Cantonment Hospital for donation of Rs4.5 lakhs for trolleys was not accepted. President Maithili proposed that the club should develop “signature” projects which will be continuing in nature from year to year was accepted by the Board. YOUTH SERVICE : Director Vaijayanti proposed that the Club participate in the District 3131 “Walk For Peace” by sending our Interact Club students to participate was readily accepted by the Board. There is no Budget for this activity. President Maithili informed that Past District Youth Director Gauri Shikarpur has proposed the name of one organisation which conducts Quiz Competitions for Youth. Host Club has to provide Hall and physical arrangements for 50 children. PDG Vivek offered to provide a suitable Hall for the purpose. BoD sanctioned Rs25,000 for this project under YOUTH SERVICE. RYLA- Outdoor was under planning but as Chair Gen. Rumy would be soon proceeding to US, the same was not finalized in this meeting . Other Service Directors were not present and BoD could not receive their proposals. 10. Hon Treasurer’s Report : Rtn Zarir mentioned that 14 members were yet to send their subscription and RI dues were not received from 6 members, totaling Rs 2,51,450=00 and proposed to write e mails using polite entreaties to pay at the earliest. This was accepted by the Board. 11. GML- Contents of GML were read and approved. 12. Any Other Point- The date for the Trust Meeting will be fixed after consulting trustees and their availability. No other point was dicussed 13. NEXT BOARD MEETING : Date for October Meeting of BoD was fixed as Friday, 7th October 2022. This date may kindly be deemed as NOTICE to Board Members to attend the Meeting at 6.30 PM at Manisha on 7th October, the Agenda for which shall be circulated by E Mail. 14. Members thanked President Maithili for the chairing the Meeting and the meeting was closed by President at 8.30 PM after much fruitful discussion and concurrence. |
