Proceedings: Meeting started at 7.00 pm.
President Elec. Rtn. Ashok Shinde call to order and started meeting with welcome of all Directors, Chairs
and Chief Guest AG Rtn. Neena Raysoni for the meeting.
➢ Serjeant-At-Arms, Club Mentor & Trainer PP Rtn. Kamlesh ji briefed about meeting purpose
with welcoming new BOD and Chair. He also given emphasis on Goal Setting to become No. 1
Club in PCMC and he explicitly mentioned that we have very good leader in our team to achieve
this very soon.
➢ President Updates: NIL.
➢ On behalf of Director Strategy & PI Elect Updates, PEND Rtn. Mahadev Shendkar explained
the Strategy Planning for next 5 years along with Vision, Mission Statements, SOWT Analysis.
He also shared the Project Ideas for next 3 years and stated that we have now started planning
for inducting new members in missing categories like Architecture, CA, Doctor,
IAS/APS/Army/Navy Officer, Beautician etc.
➢ Treasurer Rtn. Jasbinder Singh informed about importance of the Club budget for pre-planning
of the expenses, He also explained the next year Budget with expected income and planned
expenses details.
➢ PE Ashok Shinde explained and shown the Club Goals set on the District 3131 & RI Site for R
2023-24,
➢ He also published the ideas generated by all avenue directors during or after our Orientation &
Idea Generation Session
➢ Few ideas mentioned below are discussed and agreed by all members to move forward for micro
planning and executions of the same;
• Strategy & PI Plans or Plans for RY 2023-24 like Theme Based Activities, Rotary Theme
Park, AI-VI Lab, STEAM Lab, Video Context, Petathon, Yogdan, Audio Video Bulletin,
Birthday Gifts, Social Media Visibility, REDx Talk, Davandi etc.
• Shared annual calender prepared by Admin Director Rtn. Irrfann for various Club
Administration activities like 24 Weekly Meetings, 10 BOD’s, 6 Club Assembly Meetings,

Annual General Meeting (AGM), 5 Family Nights, Club Picnic, discussed on the Installation,
CERA VERA & Charter Night planning etc. and requested everyone to share their ideas and
views.
• In membership shared the list of unfilled classifications to be filled next year like Doctor, CA,
Architectures, IAS/IPS, Army/Navy Officer, Beautician, Event Organizer etc. and looking for 5
new members (3F/2M)
• Also, under membership we will try for Form New Corporate HR/CSR Club with guidance of
Chakan Industries Association, CSR Director Elect Rtn. Vishwanath Yerwa & Rtn.
Bhimashankar Karote
• In TRF we will target 100% Giving Club, 100% PHF, TRF 10,000 $. Also discussed and
agreed to submit TRF Cheque on the DG Installation Day 2nd July
• Under CSR, discussed and agreed to conduct HR Connect Program for MNC’s HR
/CSR/Plant Managers to get prospective members, CSR Donations/Partners, New CSR Club
Formations.
• Various Fund-Raising ideas are discussed and agreed to go forward for further detailed
planning like Donation Draw, Music Concert, Crowd Funding, Sport Event, Cyclathon, Bullet
Rani, Petathon, Road Safety Marathon, Social Hour, Happy Street, Individual Donors etc.
• Good ideas about Service Projects are discueed and agreed to go for further detailed
planning like Pediatric Surgeries, Borewell recharge, School Repairs, Happy Village, Happy
Anganwadies, Cancer Operations, WASH, AI-VI Lab, STEAM Lab, Pulse Blood Donations,
Yogdan, Arogya Darbar etc. Environment Projects – Tree Plantation, No Plastics, Garbage
Recycling, Borewell Recharge, Aerators To Save Water, Green Friday, Soil Testing etc.
• Under Youth /New Generation various ideas are discussed and agreed to go for further
planning like New Rotaract, Innovation Tournament, Industrial Visits, Sport Event, Leadership
Trainings, AI-VI-META-STEAM Lab, App Development Context etc,
• In Sports, Health & Wellness very good ideas are discussed and agreed to plan further like
Vanabhojan, Gadkille Trekking, Laughter Sessions, Sports etc.
• Rewards & Awards – It is discussed to finalize award categories like Director of the year,
Rotarian of the year, Annet of the Year, Ann of the Year, Rotary Family of the year,
Committee, Chairman of the year etc. of the year duly explaining the criteria and publish if
beginning of the year and track the performances accordingly. Also discueed and agreed to
form Award Committee comprising President, Secretory, IPP, PE, Club Trainer & 2 New or
Non-BOD Members.
➢ Open Discussion points:
In open discussion session all present director and chairs are actively participated and shared
their views and ideas for better planning of the year ahead;
• Rtn. Ravindra Waghmare chair youth shows his willingness to deliver lectures for students.
• IPP Rtn. Ravindra Bhave suggested to make provision for Happy Village in our yearly Budget
for activities like, Solar School, RCC formation. He also stated that projects done in last 2
years in Happy Village should be monitored for sustainability. He suggested to celebrate Polio
Day with PI event like Cyclathon as Fund raising event along with RC Chinchwad, Road
safety programs Like Helmet awareness can be conducted with the help of police department.

• IPP Rtn. Sadashiv Kale suggested that we may think of projects at Slum area around us
which will create good PI.
• Rtn. Ameya Joshi suggested and ready to conduct a program for women’s awareness on
legal rights
• Rtn. Rashmi Bhave gave updates on Membership like, current strength, new member
selection criteria and details of new members in que for further processing as per by laws.
• PP Rtn. Vinay Kanetkar suggests to organize animal exhibition at village for better PI and also
advised to conduct women empowerment drives like, cake, paper bag making training etc.
• Rtn. Girish Kulkarni informed that few Youth related projects has been planned and funds
may be required to conduct the same however Rotaract revival and Goals set for Youth are
achievable.
• Project Chair Ann Atul Joshi suggested that first focus should be fund raising and everyone
should participate in the same for doing better projects.
• Rtn. Jasbinder emphasized on retention of the project legacy, completed projects should be
closely monitored and also, suggested to take accountability of the same.
• PP Rtn. Kamleshji explained that District is taking lot of initiatives for training and that will help
to improve the club performance and suggested to participate in large numbers.
• Rtn. Dinesh Patil suggested to arrange a Job fair in villages and business-related training in
Happy Village for development of the youths.
• Rtn. Sachin More explained about initiative taken from today’s meeting onwards in line with
our next year Theme Minimize Waste like using glass bottles, circulation agenda is in soft
copy.
➢ AG Feedback & Comments: AG Rtn. Neena Raysoni expressed very positive feedback about
our planning assembly and the annual plans we had shared in today’s meeting. She specially
mentioned about our good club strength and administration skills. She also suggested to
participate in the projects she is interested to support for like Green Society & Child Developments
etc.
➢ Vote of Thanks – President Elect Nominee Designated Rtn. Mahadev Shendkar expressed
sincere thanks to Admin Event team for very good meeting arrangements. Also, thanks to all
members for large attendance and active participation and sharing their ideas and views in the
meeting.
