Minutes of Meeting ROTARY CLUB OF POONA DOWNTOWN Minutes of the 5th BOD Meeting Held on 14th October 2023 at the residence of Secretary Rtn. Shikha Mitra Present: Rtns Aruna Rathi, Zimra Israel, Sunil Holay, Sujata Malkani, Shailendra Abhyankar, Bageshri Gogate, PNN Iyer, Shikha Mitra, Rtn Vinod Dua and Rtn Rajendra Nahar Leave of Absence: Rtn. Masarrat Tavawala, Yezdi Batliwala Proceedings President Aruna welcomed everyone. Minutes of the BOD Meeting held on 10th October 2023 were proposed to be adopted by Rtn Sujata Malkani, seconded by. Rtn Zimra Israel and thereafter unanimously adopted by the Board. The directors presented their reports. A. Treasurer’s Report Rtn Sunil Holay reported that the balance in our Club and Trust accounts on 31 October were as follows: • HDFC Bank RCPD Charitable Trust CSR Account – 35,00,174.80 • HDFC Bank RCPD Charitable Trust Account – 13,72,526.62 • Bank of India RCPD Club Account – 1,06,982.90 • Sunshine Box collection up to 31st October 2023 Rs. 18,300/- B. Club Administration President Aruna Rathi summed up the coming activities of the Club Administration in the absence of Vice President Rtn Masarrat Tavawalla. i) A visit to the Times of India Press is being organized by Rtn. Sujata. ii) The Diwali fellowship held on the 11th of November was a great success- 95 Rotarians and Spouses attended. iii) The District Resource Trainer (DRT) will be visiting our club on 30th November. iv) Accounts for the year 2022-23 to be circulated to all members, before the AGM. v) The proposed date for AGM is 14th December 2023. C. Community Service Non-Medical Rtn. Bageshri Gogate reported: i. The Vocational Awards committee met at Poona Club. The Performa of Email inviting applications for awards has been circulated amongst BOD members. The Awards function will be held in February or March 2024. ii. On the Vocational Guidance front, PP Vikram Nabar and team met Colonel Uday Jagavkar, a certified career guidance coach, and discussed a feasible module. Our team is working out an impactful Vocational Guidance Program for 10th and 11th standard students. iii. PP Rajesh Gupta is taking the lead in the Anganwadi Project. He has identified four Anganwadis in Wagholi and will be doing the need assessment for the project. D. Public Image Rtn. Sujata reported: i. All projects have been reported on the District WhatsApp groups. ii. The Standees at the Metro stations have already given us one beneficiary for LN4 hand. E. Youth Service Rtn. Shailendra reported be a district even. i. Need to pay pending Rotaract dues for the Rotaract club of AIIMS. This is pending and discussed with both Pallavi and Sunil Holay. ii. The installation for the Rotaract Club of Symbiosis Skills University is pending. iii. Interactors visit to the Maritime Museum will be arranged before the end of this year. iv. A picnic for the special needs children of Sundarji School will be proposed at Nagarwala school. v. Yezdi requested that our Rotaract Club Of Symbiosis Skills University participate in one of the two Global Grants that were discussed during the meeting vi. Rtn. Iyer suggested that we organise a RYLA at Symbiosis Skills and Professional University. F. Foundation Rtn. Yezdi Batliwala reported: i. APF collection to-date is Rs. 3,01,000 (USD 3627/-). ii. Global Grant No.2119450 – Upgradation of Ophthalmology equipment at Ankit Shirdi Sai Baba Hospital at Vadu (KEM): The final balance amount of Rs. 4223.82 and Utilization Certificate of the Grant which was pending has been sent to Rotary Foundation (India) on 24th October 2024. iii. The Global Grant GG2456879 “Rotary-Janaseva Foundation Vocational Skilling Centre” Community Assessment Report for Primary Approval was sent to the RGO (Regional Grants Officer) Ms. Caroline Kwak and a few queries have been raised which will be replied by the end of this week latest. iv. We have received a Donation Cheque of Rs.30,00,000 (Rs. Thirty Lakhs Only) from one Mr. Suresh Balani – The donor has requested that money is to be exclusively used as RCPD Contribution towards one big Global Grant for Kids in which his Rotary Club in USA will be the Foreign Partner. Prior approval for the Global Grant project is to be obtained from him once decided by the club. If a suitable GG Project is not available then the donation is to be broken up into 3 projects as follows (Rs. 10 lakhs for each Project): i. Nutrition for children undergoing Chemo and Radiation Therapy for Pediatric Cancer. ii. Up-Gradation of Anganwadis in Pune Rural area. iii. Pediatric Cardiac Surgeries. G. Community Service Medical Rtn. Vinod Dua reported: i. Final TB Nutrition distribution will be done on 27th November. ii. Eye check-up camp at Mastercard will be held in December. iii. Anaemia detection camp for school/college girls will be held in January 2024 . iv. Screening for Breast Cancer will be done in January. v. HPV vaccination camp will be held in January. vi. Dental check-up camps in schools will be held in December. H. Membership and Strategic Planning Rtn. PNN Iyer thanked IPP Rtn Zimra Israel for the videos and literature that can be shared with prospective members. i. HSBC, John Deere and BNY Melon are under follow up for corporate membership, employees' individual memberships and CSR. ii. AMDOCS, no progress. It is an Israeli multinational and none of their Directors are coming down from Israel. iii. HSBC has responded well. Their area of interest is Education & Environment. Strategic Planning: PE Rtn. Iyer said that after the initial brainstorming on 31st October we need to formulate and consolidate five-year plans to carry out solid work in line with our Vision and Mission. He requested that our PE 2024-25 & VPE should also be included in the committee for Strategic Planning. I. PP Rtn Zimra Israel reported that: I. Breast Cancer Check-up has been carried out on 65 women in collaboration with RSB Foundation II. Touch B- Hb machine had to be scrapped as it was irreparable III. The Dialysis Centre is gradually picking up. There being no further business the meeting was adjourned after a vote of thanks to the hostess. The next BOD meeting will be hosted by Rtn PNN Iyer on 11th December at 5.30 PM.
